Position Summary :

The purpose of this position is to ensurein ensuring an efficient education grants planning and successful implementation.

Responsibilities :

  • Set a work plan for the grant implantation, reporting and projects’ closure;
  • Document grants’ activities through different means (photo / videography, reports, highlights, etc
  • Plan for grants’ extracurricular activities as per the grant proposal and work plan.
  • Assist as appropriate in the design, formatting and preparation of grant documentation, to include creation of computerized statistical summaries and / or graphics.
  • Develops and maintains specialized databases and systems for recording and tracking grant implementation as required.
  • Participate in Cross-Functions projects with openness to change in order to empower others;
  • Allocate and inspect new projects’ implementation location and partners;
  • Create and update Grant Information Sheet for all grants (Education, Exchange and Study USA grants);
  • Develop projects’ implementation plan;
  • Issue all required grants’ agreement documents and payment requests on time;
  • Provide grants reporting and financial status updates as per business need.
  • Prepares new grants’ documents for signature and submission in coordination with the Finance manager;
  • Liaise and coordinate grants activities with different parties implementation partners, suppliers; trainers / teachers and grantees;
  • Disseminate required information and prepare grants’ progress reports as needed;
  • Follow up on M& E activities and analyze M& E reports and advise on suggested corrective actions;
  • Prepare required documents for orientation sessions.
  • Follow up on trainers’ / teachers’ work schedules every semester;
  • Request new project codes for new projects upon agreement signature;
  • Advise new trainers and teachers on required hiring documents;
  • Maintain proper flow of payment process for trainers and teachers with Finance department Follow up with the Finance Department of the donors’ payment submission;
  • Follow up and coordinate on teachers and trainers contractual agreements update and processes.
  • Initiate and follow up on the payment request issuance timely processes to donors;
  • Monitor grants’ expenses and reports to requesting parties.
  • Assign tasks to project implementation team (office assistant, Program Assistant, Program Specialist);
  • Communicate with grants’ donors on regular basis
  • Conduct class visits with donors while on visits to classes when applicable
  • Supervise, mentor & Train Grant Assistant.
  • Required

  • Bachelor Degree in any relevant discipline.
  • 3- 4 years of experience in program administration
  • Ready to travel across the country
  • Project management experience is a must
  • Technical skills

  • Proficient in using Microsoft Word, PowerPoint, Excel and Outlook
  • Excellent command of English language
